Stock adjustments

Correct stock quantities safely and keep a clear adjustment history.

Stock Adjustments lets you count the stock physically available in a shop and bring QuickTill's expected quantities in line with the count. Use it for a full stocktake, a section-by-section count, or a correction to selected items.

Before you start

  • Make sure you have access to Inventory Management. If the Stocktake Adjustments icon is not visible, ask your administrator for access.
  • Choose a quiet counting period. Pause sales, receiving, transfers, and other stock changes for the items being counted where possible.
  • Count using the same unit shown for the inventory item. For example, enter a weight for an item stocked by weight and a piece count for an item stocked by each.
  • Confirm which shop or inventory location you are counting. An adjustment changes stock only in the selected inventory.

Open Stock Adjustments

  1. Open Inventory Management.
  2. Select the Stocktake Adjustments icon in the top-right corner.
  3. In Inventory, select the shop or inventory location you are counting.
  4. Wait for the product list to load.

Complete a stocktake adjustment

1. Add products to the stocktake

  1. Search using a product name, barcode, or item ID.
  2. Select each product that you want to count.
  3. On a phone, open the Stocktake tab to see selected products. On a larger screen, the stocktake list appears beside the product list.

You may count selected products only; a full-inventory count is not required.

2. Enter physical counts

  1. Find a selected product in the stocktake list.
  2. Enter the quantity physically counted in Physical count.
  3. Repeat until every selected item has a count.

QuickTill displays:

Field Meaning
Expected The quantity currently recorded in QuickTill.
Physical count The quantity you counted and entered.
Difference Physical count minus expected quantity.

Decimal counts are supported for products stocked by weight or another fractional unit.

Important: Enter 0 only when the physical quantity is genuinely zero. A blank field means “not counted” and prevents the stocktake from being completed.

Examples:

Expected Physical count Difference Result
25 22 -3 Stock decreases by 3.
25 28 +3 Stock increases by 3.
25 25 0 No adjustment is made.

3. Review the differences

  1. Select Finish & review.
  2. Check the Review stocktake differences summary.
  3. Pay particular attention to large shortages or surpluses.
  4. If a count is wrong, close the review, correct it, and review again.

No stock is changed until you confirm this review.

4. Apply the adjustments

  1. Select Apply N adjustments, where N is the number of differences. If all products match, the button is labelled Complete stocktake.
  2. Wait for the completion message.
  3. Review the Stocktake variance report that opens afterward.

Only products with a non-zero difference are adjusted. Each successful quantity change is recorded as a stock adjustment for reporting and audit.

Save or print the variance report

The review and final variance report can be saved as a PDF or printed.

  • Select Save PDF to keep an electronic record.
  • Select Print to produce a paper copy for sign-off.
  • Select Last report from Stocktake Adjustments to reopen the most recent report during the current session.

For controlled stocktakes, have the counter and reviewer sign the printed or saved report according to your business procedure.

Understand adjustment results

Status Meaning What to do
Adjusted The new quantity was saved successfully. No further action is required.
Matched Physical and expected quantities were equal. No adjustment was needed.
Queued The device could not reach the server, so the change was saved for offline synchronisation. Restore the connection and allow QuickTill to sync. Do not repeat the same adjustment.
Failed QuickTill could not save the change or queue it safely. Read the error, correct the problem, and retry the affected item. Do not assume its stock changed.

The completion message summarises how many items were adjusted, queued, or failed. If an item is queued, keep the app available to synchronise and check Offline Tasks after connectivity returns.

Correct a mistake

Before applying:

  • Edit the physical count directly.
  • Remove an item from the stocktake list if it should not be included.
  • Use Clear to discard the entire current stocktake after confirming the prompt.

After applying:

  • Start a new stocktake adjustment for the affected item.
  • Enter the correct physical quantity and apply it.

This produces a new adjustment and preserves the history of the earlier change.

Changing the selected inventory

If the stocktake list already contains products, choosing another inventory prompts you to clear the current list. Confirm only when you are ready to discard those entries. Products and counts cannot be moved automatically between inventories.

Troubleshooting

Products do not appear

  • Confirm the correct inventory is selected.
  • Clear the search box and search again by product name or barcode.
  • Confirm the item belongs to that inventory and is a stock item. Service items are not included in stocktakes.
  • Check the network connection and reload the screen.

Finish & review is unavailable or shows an error

  • Every selected item must have a physical count.
  • Counts cannot be negative.
  • Use 0, rather than leaving the field blank, for an item with no physical stock.

The result is queued

  • Reconnect the device to the internet or business network.
  • Allow QuickTill to process Offline Tasks.
  • Do not enter the same stocktake again while the original change is queued, because that can create an incorrect second adjustment.

An item failed

  • Note the product and error shown in the report.
  • Check your connection and access rights.
  • Refresh the product to confirm its current expected quantity before retrying.
  • If it continues to fail, give the product name, inventory, time, and error message to your administrator or support team.

The wrong inventory was adjusted

Do not try to hide or delete the adjustment. Count the affected product in each relevant inventory, make correcting adjustments, and keep both variance reports as an audit trail.

PDF or printing does not work

  • Confirm the device has permission to save or share files.
  • Confirm the intended printer is selected and connected.
  • Save the PDF first, then print it from the device if direct printing is not available.
  • Assign one person to count and another to review material differences.
  • Count systematically by shelf, cold room, category, or storage area.
  • Avoid counting the same physical stock twice.
  • Investigate large variances before applying them.
  • Save or print every completed variance report.
  • Resume sales, receipts, and transfers only after the count is applied or safely queued.
